The Sales Administrator is responsible for supporting the sales team with processing customer’s orders for video games and more, ordering products for resale, writing credit and debit requests, supplying shipment tracking reports, coordinating communications with outside suppliers and distribution centers, and other administrative functions.
Key duties/responsibilities of the Sales Administrator:
- Process daily manual entry and EDI sales orders from customers (retailers, distributors and associated sales reps).
- Coordinate email communications of all customer-related issues for Sales Administration Manager to ensure seamless flow of information/resolution.
- Send out communications to customers daily, PO receipts, shipment reports.
- Provide assistance to external/internal sales personnel and customers by fulfilling requests including, but not limited to, product availability, quotes, samples, shipment tracking, pricing, and much more.
- Coordinate with sales reps and customers to resolve issues related to pricing, shortages, late shipments, damages, and other problems.
- Contribute as a team player within Sales & Marketing group, interfacing with outside suppliers, customers, sales reps and distribution centers.
- Prepare setup database for new items, new customers, and new promotions.
- Process returns.
- Prepare materials for sales calls and trade shows; perform Internet research; and assist others with clerical and data entry support.
- Resolve problems and answer questions by working closely with various internal teams and outside groups.
- Track, analyze, reconcile and report inventories, customer sales, sales commissions, rebates, and all things related.
- Consolidate, organize, and report product sell-through reports from various sources.
- Perform other related duties as required or requested; such as participating in trade shows and interacting with fans/customers.
- Report to Sales Administration Manager.
Qualifications/Requirements:
- Minimum 3-5 years experience in customer service.
- Proactive initiative in handling customer service issues.
- Advanced Excel skills a must.
- Excellent PC skills including Word, Excel, Outlook, email
- Strong interpersonal skills and multi-task oriented.
- Great communicator in person, on phone, in email, and on IM.
- Excessively organized and able to be a model of consistency in following order processing and accounting processes and organizing records.
Qualifications/Preferred:
- College degree preferred but not necessary, minimum of high-school diploma and some college business classes.
- Microsoft Great Plains and EDI order/invoicing processing experience are pluses but not required, however the ability to master them is required.
- Interest in video game industry recommended, but not required.
